Our client is seeking a highly organized and detail-oriented Filings Specialist to support their corporate compliance and entity management team. The ideal candidate will play a vital role in maintaining good standing for our clients’ business entities by preparing, submitting, and tracking various corporate filings with state agencies. This position also includes general administrative support duties to ensure seamless departmental operations.

 

QUALIFICATIONS

  • Minimum 2 years of experience in a legal, corporate compliance, or administrative support role.
  • Experience working with registered agent service providers or Secretary of State offices.
  • Prior work in a law firm, in-house legal department, or corporate setting.
  • Understanding business entity types and state compliance requirements across multiple jurisdictions is a plus. 
  • Proficient in Microsoft OƯice (Word, Excel, Outlook) and comfortable with learning new software systems (experience with entity management platforms is a plus).
  • Strong written and verbal communication skills.


RESPONSIBILITIES

  • Prepare, file, and track annual reports, amendments, formations, qualifications, withdrawals, and other state-required filings for corporations, LLCs, and other entity types across multiple U.S. jurisdictions.
  • Maintain internal entity databases and filing calendars to ensure timely compliance with state deadlines.
  • Coordinate with all registered agents and state offices to resolve filing issues or clarify requirements.
  • Generate and review invoices for filing services and track payments when necessary. Respond to client inquiries regarding filing status, requirements, and timelines.
  • Scan, organize, and electronically file all documentation related to corporate filings.
  • Support the compliance team with administrative tasks including data entry, client communication, scheduling, and document preparation.
  • Assist with onboarding new entities into internal CRM Software and setting up compliance workflows.
