The Project Manager is expected to perform all job duties with a commitment to providing superior service to and driving results for clients; producing quality work products with an emphasis on achieving specific, measurable outcomes or results, and contributing to an atmosphere of teamwork and continuous improvement within the Project Management Office (PMO). Above all, the Project Manager must fulfill the needs of the Technology Department in a manner which is consistent with the Firm’s visions and values.
Ideal Candidate
***SaaS based solutions and migration projects with waterfall methodology is a must have***
Candidate will have demonstrated experience leading on-premise to SaaS migration projects, as well as familiarity with Artificial Intelligence and machine learning integrations within enterprise application implementations.
Responsibilities
- Leads the delivery of IT projects within the Firm's project portfolio by independently managing initiatives of all sizes, identifying and coordinating cross-project dependencies, and serving as a key contributor on enterprise-wide strategic projects aligned with business strategy.
- Takes ownership of projects and/or workstreams within comprehensive programs, demonstrating accountability, time management, and the ability to work independently while collaborating effectively with others.
- Adhere to the full project life cycle (pre-planning, execution and closeout) including but not limited to project planning and maintaining project artifacts, requirements gathering, scheduling, budgeting and procurement support, risk tracking and escalation, and reporting.
- Performs as a self-starter who takes initiative recording action items, manages assigned tasks, follows up with project teams, and proactively seeks solutions to keep projects organized and aligned with goals.
- Leads stakeholder engagement through well-structured meetings with clear agendas and defined outcomes, and delivers timely, audience-appropriate project updates, dashboards, and executive-level reports that communicate status, milestones, risks, and key metrics to drive informed decision-making.
- Works closely with Information Technology department groups including to Security, Budget & Contracts, Compliance & Data Privacy, Infrastructure, Architecture, Applications, Training, and Support to ensure project deliverables meet both business processes and requirements and technical standards.
- Proactively identifies, assesses and manages risks, issues, and potential project roadblocks, and works with the assigned resources to develop mitigation and contingency plans.
- Maintains strategic oversight of project scope, proactively identifying scope creep and managing change requests through established governance processes, while leading the project team in evaluating impacts and implementing approved adjustments efficiently.
- Oversees project budgets with accountability for accurate forecasting, timely invoice processing, and purchase order management, while coordinating with the assigned manager on significant financial decisions and budget variances.
- Applies sound judgment in executing escalation protocols and change control procedures in accordance with firm policies and stakeholder scope changes, while identifying opportunities to enhance processes and implement best practices.
- Collaborates with responsible managers to coordinate project resource assignments, clearly communicates each team member’s roles and responsibilities, and escalates issues related to resource availability or performance as needed.
- Learns and applies Firm PMO standards and best practices while actively contributing to process improvement, tool usage, and delivery efficiency.
Qualifications
- Must be able to independently manage medium to large interdepartmental projects and lead enterprise-wide initiatives potentially spanning multiple geographical regions.
- Ability to communicate clearly – in non-technical terms, concisely, and with an understanding of the audience’s priorities.
- Ability to organize and lead meetings, and to keep teams on task.
- Strong interpersonal skills with the ability to effectively delegate project tasks and interact with people at all levels of the organization.
- Must be able to work under pressure, following a plan and balancing competing requests by priority.
- Understanding of project management methodologies, principles and tools, including Smartsheet.
- Motivated to learn a wide range of disciplines – e.g., ITIL, Agile and other software development methods, procurement and supplier management and how to effectively build them into the Firm’s project management approach.
- Willing to work on a variety of technical project types including SaaS platform implementations, hardware implementations, process improvement, software development, product/ system evaluations, and construction.
Education & Required Skills
- Bachelor’s Degree required; preferably in Business Administration, Information Systems, Decision Sciences or related discipline.
- Minimum of five years of demonstrated success managing projects throughout all phases of project lifecycle. Projects with global scope are a plus.
- Preferred candidate will have demonstrated experience leading on-premise to SaaS migration projects, as well as familiarity with Artificial Intelligence and machine learning integrations within enterprise application implementations.
- Preferred candidate will possess the following project management experience: commercial software/services, infrastructure, software development, and/or technology infrastructure for office construction projects
- Proficient in M365 and experience with project scheduling tools.
- Experience managing projects involving data privacy, regulatory compliance, and failover or disaster recovery planning will be considered a plus.
- PMP, Agile, ITIL, Lean Six Sigma, or similar certifications will be considered a plus.
