Job Description:
We are seeking an experienced Labor & Employment Business Litigation Secretary to provide high-level administrative and litigation support to up to three attorneys in a fast-paced legal environment. The ideal candidate will have strong knowledge of state and federal litigation procedures, excellent organizational skills, and the ability to independently manage competing deadlines and priorities.
This position will support attorneys handling labor and employment and business litigation matters from case inception through resolution, including electronic filing, legal document preparation, calendaring, document management, and general case administration.
Key Responsibilities
- Provide comprehensive legal secretarial support to up to three attorneys.
- Prepare, format, proofread, and finalize pleadings, motions, discovery, correspondence, briefs, notices, and other legal documents.
- Handle state and federal electronic filing, including preparing documents and filing packages in accordance with applicable court rules and procedures.
- Assist with preparation and filing of Table of Authorities (TOAs) and Table of Contents (TOCs).
- Prepare and maintain court filings, hearing materials, exhibits, and related litigation documents.
- Assist attorneys with legal research and preparation of Best Authorities and other litigation support materials.
- Maintain attorney calendars, including court dates, hearings, depositions, discovery deadlines, and other critical litigation deadlines.
- Coordinate depositions, hearings, meetings, conferences, and other case-related events.
- Organize and maintain electronic and physical case files.
- Manage documents and case materials using legal document management systems.
- Assist with discovery and litigation document organization and production.
- Monitor deadlines and proactively communicate upcoming dates and required action items to attorneys.
- Prepare correspondence, emails, engagement-related documents, and other attorney communications.
- Provide general administrative support, including scheduling, time entry, expense processing, and other duties as needed.
- Maintain confidentiality and exercise sound judgment when handling sensitive client and case information.
Qualifications

5+ years of legal secretarial experience, preferably supporting labor & employment, business litigation, or complex civil litigation attorneys.
- Strong understanding of California state and federal court filing procedures.
- Demonstrated experience with electronic filing in state and federal courts.
- Experience preparing and formatting complex legal documents.
- Familiarity with TOAs, TOCs, Best Authorities, and litigation filing requirements.
- Exceptional attention to detail, proofreading, grammar, and document formatting skills.
- Strong organizational and time-management abilities.
- Ability to prioritize multiple matters and deadlines while supporting several attorneys.
- Professional communication skills and the ability to work effectively with attorneys, clients, opposing counsel, court personnel, and legal professionals.
- Ability to work independently while functioning effectively as part of a legal team.
- NetDocuments experience is a plus.
- Proficiency with Microsoft Office, particularly Word and Outlook.
Work Environment
The position is fully onsite in Irvine for the first 90 days to facilitate training, integration with the legal team, and development of firm-specific workflows. Following the initial 90-day period, the position transitions to a hybrid schedule with three days onsite per week.
