Our Legal client is seeking a highly organized and detail-oriented Legal Assistant to support our legal team, with a focus on managing case schedules, meeting critical deadlines, and maintaining thorough and up-to-date files. This role includes transcribing dictation, drafting documents, e-filing, processing invoices, and ensuring compliance with client billing policies and court requirements. The ideal candidate will possess excellent communication skills, a strong work ethic, and a high level of professionalism and discretion.
Key Responsibilities
- Transcribe dictation
- Draft legal documents for matters without a paralegal assigned
- Schedule depositions, hearings, mediations, and other legal events, while tracking related deadlines
- Familiar with Guardian ad Litem processes and procedures
- Stay informed on Judge/County-specific requirements and preferences
- Proofread legal correspondence and documents with high attention to detail
- Familiar with Mediation processes, calendaring, and invoices
- Perform e-filing and calendar deadlines based on filing events
- Manage incoming mail: scan, save, and name documents appropriately, and calendar deadlines as needed
- Process invoices and manage billing in compliance with client guidelines
- Communicate with clients and adjusters to coordinate case events and update on case progress
- Provide general administrative support to attorneys as needed
Skills and Qualifications
- Strong organizational skills and the ability to manage multiple tasks and deadlines
- Excellent interpersonal and written communication abilities
- Legal knowledge sufficient to support attorneys across a variety of tasks
- High attention to detail and excellent proofreading skills
- Strong sense of ethics and ability to handle confidential information
- Proficiency in legal document management systems and office software
- Ability to work independently and collaboratively in a fast-paced environment
- Familiarity with e-filing systems and court processes is required
- Experience with client billing policies and invoice processing
- Knowledge regarding Guardian ad Litem cases
- Knowledge of Mediation practices and procedures
Preferred Qualifications
- Prior experience as a Legal Assistant or Legal Secretary
- Knowledge of litigation processes and familiarity with client-specific requirements
- Experience supporting multiple attorneys or case teams
- Proficient in dictation
