JOB DESCRIPTION
The Legal Administrative Assistant is responsible for working with their assigned attorneys, as well as liaising with various administrative departments, Legal Executive Assistants, and Senior Legal Executive Assistants to coordinate daily activities and provide the highest level of administrative support. This role reports to the Legal Administrative Service Manager, taking daily direction from their attorneys and Legal Administrative Coordinators.
Key Responsibilities
- Arranging office meetings, conference room set ups, conference calls, catering, and equipment.
- Coordinating domestic and international travel through firm travel agency.
- Researching and obtaining information, facilitating the completion of forms and processes, and other administrative tasks, including processing invoices, reimbursements, and entering and reviewing time.
- Creating, editing, and proofreading legal documents, spreadsheets, and other materials.
- Maintaining client lists, contact lists, and a filing system.
- Drafting letters, spreadsheets, presentations, and shells/templates, including complex formatting and preparation of documents for filing various courts through attorney service and e-filing portals. This includes, but is not limited to, tables of authorities, exhibits, declarations and [proposed] orders.
- Preparing corporate closing binders and signature packets and coordinating and scheduling depositions.

- Strong attention to detail, organization, and the ability to prioritize multiple tasks and problem solve while remaining calm in deadline-driven situations.
- Excellent grammar, punctuation, proofreading, and spelling skills.
- A strong work ethic, punctuality, and reliability.
- Ability to exercise discretion with confidential and sensitive information.
- Ability to work overtime as necessary.
- Education and Experience
- Bachelor’s degree or equivalent relevant work experience required
- 3-5 years of administrative experience in a law firm required
- Highly proficient in Microsoft Word, Excel, and PowerPoint; experience in Adobe, Workshare Compare, Best Authority and Litera Forte preferred
