Job Description: 

Our client, an international AmLaw 100 firm, is looking to hire a Lateral Partner Integration Assistant at their offices in New York City. The position will allow for a hybrid work schedule with 4 days a week onsite, 1 remote, and will pay an annual base salary of $65K to $70K plus a performance-based bonus and comprehensive benefits package.

 

Our AmLaw 100 client is seeking a Lateral Partner Integration Assistant to provide dedicated administrative and operational support to the firm’s Integration department. This role serves as a central coordination point for the entire integration team—owning the scheduling that keeps the team running and ensuring that the department’s trackers, dashboards and records reflect the most current, real-time information at all times. The ideal candidate is exceptionally organized, detail-oriented and proactive, with the ability to manage a high volume of scheduling and data-tracking responsibilities while delivering white-glove service in a fast-paced environment.

 


Responsibilities:

 

Scheduling & Calendar Management

  • Own and manage all scheduling for the integration team, coordinating meetings, calls and interviews among lateral partners, firm leadership, practice group heads and cross-functional Business Professionals teams
  • Manage complex, frequently shifting calendars across multiple team members, proactively resolving conflicts and ensuring participants, materials, rooms and virtual meeting logistics are in place
  • Coordinate pre-arrival, onboarding and integration meetings and events end to end, including room bookings, video conferencing setup, catering and related logistics
  • Track scheduling-related deadlines and proactively follow up to confirm attendance, preparation and next steps

 


Tracker & Real-Time Data Management

  • Maintain the department’s integration trackers, dashboards and records, ensuring every entry is updated in real time and reflects the most current status, milestone and engagement information
  • Serve as the team’s source of truth for integration data—promptly capturing updates from meetings, communications and team members so trackers are always accurate, complete and reporting-ready
  • Monitor milestones and deadlines across all active integrations and proactively flag items that are upcoming, overdue or at risk
  • Generate and distribute regular status updates and reports drawn from the trackers to support the team’s reporting to firm leadership
  • Continuously improve the accuracy, consistency and usability of the team’s trackers and record-keeping tools

 


General Administrative & Operational Support

  • Prepare, format and proofread documents, correspondence and integration materials
  • Maintain accurate and confidential records of all integration and recruiting activity
  • Serve as a first point of contact for administrative inquiries directed to the team
  • Assist with collecting and organizing onboarding forms and related documentation
  • Handle confidential and highly sensitive partner, client and firm information with discretion and sound judgment
  • Provide general administrative and logistical support to the broader integration team as needs evolve
  • Assist with other administrative tasks and projects as needed

  


Qualifications:

  • Bachelor’s degree required
  • Minimum of 2 years of administrative or coordination experience in a professional services environment, preferably within a legal or similar setting
  • Exceptional organizational skills and attention to detail, with a proven ability to manage complex calendars and keep detailed records accurate and current in real time
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word); experience building and maintaining trackers, spreadsheets or databases strongly preferred
  • Comfort working with data and tracking tools, with a strong emphasis on accuracy, timeliness and consistency
  • Excellent written and verbal communication skills
  • Discretion and the ability to handle confidential and sensitive information with integrity
  • Ability to manage multiple priorities and deadlines in a fast-paced, high-volume, white-glove service environment
  • Proactive, responsive and resourceful, with strong follow-through and sound judgment
  • Strong interpersonal skills and a customer-service mindset, with the ability to build effective relationships across the firm
  • Experience with applicant tracking systems, CRM or project management tools a plus
