JOB DESCRIPTION
The E-Billing Specialist role is expected to investigate and solve complex e-billing errors, and work with the Billing Manager to help direct the e-billing team for any projects that arise. In addition to supporting the internal administrative needs of the Billing and Collections teams, this individual is also responsible for coordinating billing requirements for various partners, practice assistants, and their clients. The E-Billing Specialist will report directly to the Billing Manager.
This is a pure legal e-billing with BillBlast (preferred) or e-bill hub and working with collections.
Essential Functions & Responsibilities
- Assist the Billing Manager and Billing Coordinators with all electronic onboarding needs to include, client matter setup and mapping, timekeeper entry and mapping, diversity submission as required, and rate updates/maintenance in the e-billing platforms utilized by the Firm clients
- Assist Billing Coordinators with troubleshooting e-billing-related issues
- Transmit electronic billing (“e-billing”) via BillBlast and various e-billing sites
- Track and ensure that all yearly rate increases are successfully submitted for each eligible timekeeper across all the various ebilling vendor sites
- Submit support tickets to Billblast support when errors or helpful overrides are identified
- Utilize the Billblast analytics function to help identify re-occurring rejections and/or deductions and use the data to evaluate the best solution in coordination with the Billing Manager
- Responsible for recording and maintaining accurate phase, task, and billing codes
- Have direct contact with billing Partners and their Practice Assistants to resolve e-billing-related matters
- Update billing addresses and payer information, as needed
- Maintaining and adding timekeepers to restricted lists in time entry software
- Follow up on the submission of invoices.
- Prepare invoices for usage of various e-billing sites
- Coordinate special client billing requests with Billing Manager
- Coordinate approval and implementation of special rate arrangements in collaboration with the Pricing and Project Management team
- Assist with preparing client and/or attorney analyses as needed
- Research rejected and reduced invoices for resubmission to sites. Sending short paid invoices to accounts receivable team for write offs.
- Maintain client/matter maintenance information in coordination with the Billing Compliance team
- Work collaboratively with client account analysts (collectors) on accounts receivable issues
- Interacts with Conflicts Department for new matter openings and record maintenance
- Attend and contribute to weekly team meetings, and occasionally leading meetings if manager is absent
- Adhere to and apply Firm and Billing Department policies and procedures.
Education & Experience
- A minimum of 3-5 years’ experience working as an e-biller in a law firm
- Elite or Aderant billing systems experience preferred.
- Experience with electronic billing transmission on a variety of e-billing platforms, BillBlast experience preferred.
- Proficiency in MS Office; strong knowledge of Excel required.
