Our client, one of the nation's first labor and employment law firms, is seeking an eBilling Specialist who possesses experience with Juris. This is a full time, direct hire role in New York City 10118 paying an annual base salary of $65K to $80K plus bonus and a competitive benefits package.

 

Under the leadership of the Director of Administration and Finance, the e-Billing Specialist will work with the accounting team and attorneys throughout the Firm to coordinate all eBilling and collections related activities for the firm. Our client is looking for a technically competent candidate that is an excellent communicator, professional, highly organized and possesses stellar administrative skills. The position is an in-person office position with a Monday through Friday, 9:30 a.m. to 5:30 p.m. work schedule.

 

Responsibilities

  • Manage all aspects of eBilling, including submission, review, and compliance with client Outside Counsel Billing Guidelines and Firm policies.
  • Maintain and update Partner and client billing protocols as needed.
  • Ensure accurate client/matter setup in the Firm’s billing software in accordance with eBilling requirements.
  • Handle eBilling tasks: submit timekeeper rates, set up new client matters, resolve and resubmit rejected invoices, manage vendor invoices for payment, and prepare/submit accruals per client guidelines and deadlines.
  • Oversee collections: monitor accounts receivable aging, contact clients regarding past-due balances, resolve billing discrepancies with attorneys and staff, document activity, provide status reports, follow up on partial payments, and process write-offs in line with Firm policy.
  • Identify and implement process improvements to enhance eBilling and collections efficiency.
  • Maintain effective communication with clients’ financial and eBilling teams to ensure timely invoice processing.
  • Support the accounting department with additional responsibilities as assigned.

 

Experience and Qualifications

  • Minimum of 3 years’ experience in a law firm billing department working primarily on eBilling platforms.
  • Experience with Juris software preferred.
  • Proficiency with multiple eBilling platforms, such as TyMetrix 360, CounselLink, Collaborati, Legal Tracker (Serengeti), Passport, Bottomline Legal eXchange, Legal-X, Brightflag, and similar systems.
  • Strong working knowledge of LEDES billing formats and eBilling workflows.
  • Bachelor’s degree in Accounting, Business, or a related field preferred; equivalent experience will be considered.
  • Solid math skills, including percentage calculations.
  • Proficiency in Microsoft Excel, Adobe Pro, Word, and Outlook.
  • Excellent written, verbal, and interpersonal communication skills.
  • Highly detail-oriented, accurate, and capable of meeting deadlines.
  • Able to work collaboratively within a team, while also functioning independently with minimal supervision.
