Our client, an AMLaw 50 firm, is looking to hire a Legal Personnel & Operations Coordinator at their offices in San Francisco, CA 94105. This is a full time, direct hire role paying an annual salary of $70K to $85K plus a performance-based bonus and excellent benefits package. The role requires a bachelor’s degree and will allow for remote work one day a week.

 

The Legal Personnel and Operations Coordinator will support all Legal Personnel, Office Operations and Legal Recruitment functions in the San Francisco office. This is a highly visible position requiring well-developed organizational and communication skills. Acting on their own initiative and direction, the person will handle a wide range of tasks and interact with personnel at all levels in a fast-paced environment. With great attention to detail, the candidate will need to be flexible, proactive and efficient, while exhibiting a high level of professionalism and confidentiality and provide exceptional client service. The role includes the following fundamental duties

 

  • Legal Personnel
  • Coordinate attorney onboarding, integration and offboarding processes
  • Assist with all legal personnel initiatives, including evaluations, bar renewals, memberships and sponsorships
  • Assist other members of the Legal Personnel team and Assigning Partners in associate work allocation processes
  • Prepare regular reports and statistics
  • Serve as office liaison for the Professional Development & Training team; manage logistics for trainings; coordinate with larger Training team on training offerings
  • Office Operations and Administration
  • Oversee daily office operations, including scheduling, supplies management,  vendor coordination and other facilities-related tasks
  • Liaise with landlord and outsourced vendor relationships; assist with maintenance and safety issues
  • Oversee all front of house operations; reception, food service, conference room support
  • Monitor operational expenses and support budget tracking; prepare expense reports
  • Manage office calendar and collaborate effectively with others to coordinate scheduling needs
  • Coordinate with Human Resources, Operations, Practice Services and Guest Services as it relates to new hires, practice assistant assignments, in-office moves and visitors; prepare reports
  • Organize office events, including department specific outings, associate morale events, and other functions

  • Coordinate the law student recruitment process including interviews, offer dinners, recruiting events, evaluations and correspondence
  • Coordinate the processing of candidate resumes, maintenance of recruitment database and candidate files
  • Summer Associate Program
  • Coordinate and attend all summer program events
  • Support summer associate assignment process
  • Coordinate attorney evaluations and reviews 
  • Other duties, special projects and tasks as requested

  



Required Skills:

  • Bachelor’s degree and a minimum of 3-5 years of related work experience, preferably in a legal or professional services environment
  • Ability to proactively and efficiently handle multiple tasks and priorities, in a deadline-driven environment
  • Ability to work effectively in a team environment and to interface with professionals at various levels
  • Must possess outstanding interpersonal skills and highly developed organizational abilities with a meticulous attention to detail
  • Must possess strong written and oral communication skills
  • Must exercise discretion and judgment
  • Resourceful, driven attitude with a genuine desire and energy to use a “whatever it takes” approach to ensure team success
  • High proficiency with Word, Excel, PowerPoint and Outlook 

 



Requirements: 

  • This role requires in-office attendance four days per week with the ability to work remotely one day per week
  • Ability to engage in off-site travel as required to meet job demands and firm needs
