Position Overview
Our client, a well-established law firm, is seeking an experienced Litigation Legal Administrative Assistant to support attorneys within a busy litigation practice. This role requires a highly organized professional with strong case management experience, the ability to manage multiple priorities, and a commitment to maintaining accuracy in a deadline-driven environment.
The ideal candidate will serve as a key partner to attorneys by overseeing the day-to-day flow of cases, ensuring all deadlines, documentation, and case activities are effectively managed from intake through resolution.
Key Responsibilities
- Manage the full case management lifecycle, including file opening, maintenance of organized case files, tracking matter status, and file closure in accordance with firm procedures.
- Maintain and update case management systems, ensuring accuracy of all case-related data, deadlines, and documentation across multiple active matters.
- Prepare, format, and finalize legal documents, including pleadings, discovery requests and responses, motions, subpoenas, complaints, depositions, and summary judgments, ensuring compliance with court rules and deadlines.
- Handle electronic filings in State and Federal courts, ensuring timely and accurate submissions in accordance with jurisdictional requirements.
- Oversee comprehensive calendaring and scheduling, including litigation deadlines, court appearances, depositions, and attorney availability.
- Coordinate all aspects of litigation, including depositions, mediations, arbitrations, court appearances, client meetings, and vendor scheduling (court reporters, interpreters, etc.).
- Support attorneys in executing case management strategies, ensuring all case materials, logistics, and timelines are aligned.
- Process expense reports, coordinate travel arrangements, and provide general administrative support.
- Track CLE requirements and maintain compliance records.
- Provide backup support to team members and assist with additional duties as needed.
Qualifications
- 3-5+ years of experience as a Legal Administrative Assistant or Legal Secretary within a litigation environment.
- Demonstrated experience with case management processes and systems, including managing multiple active matters simultaneously.
- Strong knowledge of litigation procedures, court rules, and filing requirements.
- Hands-on experience with State and Federal e-filing, including applicable rules and procedures.
- Excellent organizational, time management, and prioritization skills, with a high level of attention to detail.
- Proficiency in Microsoft Office Suite, including Word and Outlook.
- Strong proofreading, formatting, and communication skills.
- Ability to work independently, take initiative, and perform effectively in a fast-paced environment.
Preferred Qualifications
- Experience with iManage or similar document/case management systems.
- Experience supporting partner-level attorneys.
- Background in insurance defense, or commercial litigation.
