JOB DESCRIPTION
Our client, a highly regarded global law firm, is seeking a Legal Executive Assistant to support attorneys within its Disputes practice. This role functions as a strategic partner to attorneys, managing day-to-day operations of their practice and ensuring seamless coordination of administrative, client-facing, and case-related activities.
The Legal Executive Assistant operates at an executive level, serving as a key liaison between attorneys, clients, and internal teams while maintaining a high level of professionalism, discretion, and efficiency in a fast-paced environment.
Key Responsibilities:
- Manage attorney workflow, projects, and deadlines to ensure timely and accurate completion of tasks
- Serve as a primary liaison between attorneys, clients, and internal departments, handling communications with professionalism and sound judgment
- Coordinate complex calendars, meetings, and travel arrangements, resolving scheduling conflicts and prioritizing competing demands
- Oversee billing processes including prebills, approvals, and client invoicing coordination
- Draft, proofread, and finalize legal documents, correspondence, and presentations
- Maintain and organize electronic and physical filing systems within the firm’s document management system
- Conduct research and compile materials for case preparation and executive briefings
- Coordinate meetings, including logistics, agendas, and preparation of materials
- Delegate tasks to support staff and monitor progress to ensure high-quality deliverables
- Provide mentorship and guidance to junior administrative team members
Required Qualifications:
- Minimum 5 years of administrative experience supporting senior-level professionals in a legal or corporate environment
- Strong understanding of legal terminology, procedures, and documentation
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Experience with billing processes and time entry systems
- Exceptional organizational, communication, and multitasking skills
Preferred Qualifications:
- Experience in a law firm environment supporting litigation or disputes practices
- Bachelor’s degree in a related field (preferred but not required)
- Familiarity with document management systems and legal technology tools
