JOB DESCRIPTION
The Controller shall be responsible for the law office’s financial management function including preparation of financial analyses, budget and reports. Performs a variety of administrative, accounting and bookkeeping duties in order to maintain accurate financial and billing records and reports. Observes confidentiality of client and firm matters. Supervises accounting department staff. Possesses teamwork skills in order to work with others to get projects completed in an effective manner.
DUTIES AND RESPONSIBILITIES
- Oversees and directs all general accounting functions, including chart of accounts and general ledger, procedural aspects of the billing process, cash receipts and accounts receivable, accounts payable, fixed assets, petty cash, bank reconciliation and client trust funds.
- Establishes and maintains appropriate internal controls to safeguard assets, to ensure proper accounting of transactions and to promote operational efficiency with the Accounting Department..
- Responsible for monitoring cash flow and performing cash management, including borrowing against lines of credit, maintaining adequate compensating balances and overseeing performance of any investment of liquid assets.
- Responsible for operation, maintenance and documentation of computerized accounting systems.
- Prepares the annual budget, distributes monthly financial statement with written analysis, traces financial results on an on-going basis and prepares projections of expected results. Presents these materials at monthly Board meetings.
- Supervises payroll and tax withholdings and coordinates directly with the Firm Administrator on payroll matters.
- Compute conversion of books from accrual basis to cash basis for year-end bonuses and tax planning.
- Coordinates year-end and tax processing with CPA with timely submittal of all local, state and federal tax reports.
- Oversees Accounting Department staff.
REQUIRED QUALIFICATIONS
- Thorough knowledge of accounting, reporting, data processing as normally acquired through a Bachelor’s degree in business administration, finance or closely related field, the equivalent experience.
- At least five years of progressively responsible work experience with legal or other professional service organizations in order to gain experience in financial management, reporting, analysis and planning.
- Ability to identify and analyze complex issues and problems and to recommend and implement solutions.
- Interpersonal skills necessary in order to maintain effective relationships with partners, attorneys, clients and staff in person and by phone; to manage staff, facilitate individual and group meetings dealing with the law office operation.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Work occasionally requires a high level of mental effort and strain when performing essential duties. Must be able to perform the essential duties of the position with time constraints, interruptions, and stressed attorneys and staff.
- Work frequently requires more than 40 hours per week to perform the essential duties of the position.
