JOB DESCRIPTION
Our client, a highly regarded law firm, is seeking a Legal Executive Assistant to provide high-level administrative and executive support to senior partners and attorneys in their New York office. This role operates in a fast-paced, transactional environment requiring exceptional organization, professionalism, and the ability to manage multiple priorities with urgency and precision.
Key Responsibilities
- Provide comprehensive administrative support to senior partners and 4–5 attorneys
- Open new client matters and coordinate with internal departments to ensure compliance with firm procedures
- Maintain and update client information within CRM systems
- Prepare, edit, and finalize correspondence, agreements, retainer letters, and audit documentation
- Draft and create PowerPoint presentations and other client-facing materials
- Manage complex calendars, schedule meetings, and coordinate domestic and international travel arrangements, including detailed itineraries
- Coordinate meetings, conferences, and events, including logistics and scheduling
- Prepare expense reports, check requests, and enter attorney time as needed
- Maintain client files, CLE records, and organize documentation within document management systems
- Manage email filing, document organization, and preparation of binders and materials for attorneys
- Answer and direct calls, coordinate Teams meetings, and support daily office operations
- Assist with administrative overflow, reception backup, and ad hoc projects, including occasional personal support for partners
Qualifications
- Seeking 6-7 years current/prior experience supporting senior attorneys or executives within a law firm or professional services environment REQUIRED
- Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously
- Demonstrated ability to work independently, take initiative, and problem-solve effectively
- High level of professionalism, discretion, and ability to handle confidential information
- Strong interpersonal and communication skills with a client-service mindset
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
- Detail-oriented with strong proofreading and document formatting skills
- Team-oriented with willingness to collaborate and support broader administrative staff
