JOB DESCRIPTION

 

Our client is seeking a highly organized, detail-oriented Legal Administrative Assistant to support their attorneys and legal team in the day-to-day operations of the firm. The ideal candidate will possess strong administrative skills, be proficient with e-filing in state and federal courts, and have the ability to manage multiple tasks and deadlines. While previous experience in plaintiff litigation is not required, pre-litigation and litigation experience is required. Knowledge of insurance litigation is highly preferred. This role demands a proactive individual who thrives in a fast-paced environment, maintains professionalism, and is willing to learn and adapt as needed.


 

Key Responsibilities:

  • Manage and maintain attorneys' calendars, ensuring all deadlines are met and appointments are scheduled.
  • Handle state and federal e-filing in various jurisdictions, ensuring accurate and timely submissions.
  • Assist in the preparation and organization of legal documents, including pleadings, discovery, and motions.
  • Provide administrative support to attorneys in pre-litigation and litigation matters, assisting with case management, document review, and communication with clients.
  • Maintain detailed client files and ensure all documents are properly indexed and organized.
  • Communicate with clients, opposing counsel, and court personnel as necessary.
  • Perform other general administrative duties, including filing, document preparation, and data entry.

 


Qualifications:

  • 5+ years of legal experience in a law firm with litigation procedure knowledge
  • Proficiency in court filings; experience filing in several states would be preferred but not required
  • Experience in maintaining multiple calendars, court deadlines in Law Toolbox or similar software, coordinating meetings, and handling email correspondence with proactive follow-through
  • Proficiency in Microsoft Office; experience with Net Documents and Centerbase or similar software to ensure accurate filing, data entry, and retrieval
  • Excellent writing skills to draft legal documents, memos, and correspondence.
  • Strong interpersonal skills combined with professional phone etiquette to communicate effectively with clients and legal vendors
