Job Overview
A well-established law firm is seeking an experienced Trusts & Estates Legal Administrative Assistant to support attorneys within its sophisticated Trusts & Estates practice. This position offers the opportunity to work closely with attorneys handling estate planning, probate, estate and trust administration, guardianships, tax planning, and related matters.
The ideal candidate will possess strong organizational skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment while maintaining a high level of professionalism and client service.
Key Responsibilities
- Provide comprehensive administrative support to multiple Trusts & Estates attorneys.
- Manage attorney calendars, schedule client meetings, coordinate conference calls, and arrange travel as needed.
- Prepare, proofread, edit, and format legal documents, correspondence, and client communications.
- Draft and assemble estate planning documents, including wills, revocable and irrevocable trusts, powers of attorney, healthcare directives, living wills, certifications of trust, and related documents.
- Coordinate document execution, including scheduling signings, witnessing, notarization, and preparation of execution copies.
- Assemble estate planning portfolios, binders, and closing books for clients.
- Assist with probate and estate administration matters, including preparation and organization of court filings and supporting documentation.
- Coordinate electronic filings and maintain organized electronic and physical client files.
- Track deadlines and assist attorneys with matter management and workflow organization.
- Support billing, time entry, expense reporting, and other administrative functions.
- Communicate professionally with clients, courts, financial institutions, accountants, and other third parties.
- Maintain strict confidentiality when handling sensitive client and financial information.
Qualifications
- Minimum of 3 years of legal administrative experience supporting a Trusts & Estates, Estate Planning, Probate, Elder Law, or Private Wealth practice.
- Experience preparing and assembling estate planning documents, including wills, trusts, powers of attorney, and healthcare directives.
- Familiarity with probate procedures, estate administration, and court filing processes.
- Experience supporting multiple attorneys in a law firm environment.
- Advanced proficiency with Microsoft Office Suite, particularly Word and Outlook.
- Experience with legal document management systems and legal billing software.
- Strong organizational, time management, and multitasking abilities.
- Excellent written and verbal communication skills with a client-service mindset.
- Ability to work independently while managing competing priorities and deadlines.
- Professional demeanor with the ability to maintain the highest level of confidentiality.
