Client is seeking an Executive Assistant for its Seattle office. This position will provide executive and administrative support to the Managing Partner and will serve as a liaison to senior management teams. The ideal candidate will be outgoing and positive by nature, have a strong desire to work closely within a team, be able to jump in where needed and take effective action without having to know the total picture, react in a helpful manner and with urgency to situations and events that require a quick response or turnaround, and have the ability to easily switch gears. The position will involve regular exposure to confidential material and requires a high level of professionalism, organization, discretion, and integrity. Looking for someone who is very straightforward, positive, and proactive, and enjoys working in teams.
QUALIFICATIONS
- 3-5 Years of executive assistant experience in a law firm setting.
- A Depth of understanding of legal concepts, terminology, and case flow.
- Bachelor’s degree or equivalent experience.
- Proactive, self-starter, self-manager, with tenacity in finding solutions to problems with tact and diplomacy.
- Able to multi-task and work independently with a high level of accuracy.
- Ability to handle sensitive situations and confidential information with discretion.
- Effective time management skills: ability to organize and prioritize efficiently.
- Work well with people at all levels inside and outside the firm.
- Ability to understand problems, think critically, and identify creative solutions.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint); advanced skills preferred.
RESPONSIBILITIES:
- Managing an active calendar of appointments.
- Arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings.
- Plan, coordinate, and manage the attorney’s schedule.
- Work cooperatively with others in the firm to disseminate information on behalf of the Managing Partner.
- Work closely and effectively with the Managing Partner to keep them informed of upcoming commitments, responsibilities, and critical information related to the firm and active cases.
- Manage a variety of special projects.
- Prioritize conflicting needs and deadlines proactively and efficiently.
- Manage monthly expense report.
- Proofread and edit communications, presentations, and reports for Managing Partner and other senior leadership as needed.
- Schedule internal and external meetings (coordinates meeting logistics: presentation materials, technical support, conference rooms, tracking attendees, catering, etc.)
- Compile and analyze data.
- General office duties, including administrative recordkeeping, mail, copy, and scan projects.
- Offer support and assistance to other departments and employees as needed for special projects and/or events.
